Should you use names or job titles for email addresses?

Okay, really quick one here for everybody. The very first thing you need to be thinking about, after you’ve selected your platform when it comes to digital transformation within your church, missions organization, or nonprofit, is going to be: “how do I determine people’s identity?” And this doesn’t have to be… this is strictly to do with what you… or how you name people, or how you name accounts within the system. I like to say people are people and roles are roles, and that’s just to say, if someone is a physical actual person, you need to utilize their name, and that’s because that’s going to be their access or way that they actually enter into the system that they interact with data, and also it’s going to be how you, how you determine who can access certain types of data.

When it comes to roles like, say, accountant or finance or HR or things like that. You shouldn’t name, the email address a person’s going to use that should actually use some sort of shared email address and group email so that it actually comes in and can sit in that shared address, the reason that you want to do that because… hey… just imagine what happens when people go on vacation… when people leave the organization, you want to be able to just add other people to that shared role type of address, and you may want to just remove that other person from it, because they change jobs they go on vacation, whatever reason that you’ve decided, but they need to be shifted from that to something else.

So it could be anything: could be it could be “hello@” or “contact@” these are ones that are great for utilizing a shared type, and not one that you want to assign to an individual, specifically. So remember, people are people and roles are roles, and that’s the basic way that you should start with that.
